Replying late on WhatsApp costs you customers: 3 free fixes

If you take hours to reply, the customer asks someone else. With the free WhatsApp Business app you can answer straight away, even while you're working.

Picture this: someone messages you at seven in the evening. “How much to replace my brake pads?” Your hands are full and you reply the next morning. By then, that person has already messaged two other garages.

It happens all the time. According to a 2025 Foundever study, 52.8% of people in Spain choose WhatsApp to contact a business, second only to the phone. And 2 in 3 say they have stopped buying from a regular place because of bad service (source).

The good news: you don’t need to be glued to your phone. Three free settings fix most of it.

1. Switch to WhatsApp Business

It’s a free WhatsApp app made for businesses. You can keep the same number and your chats. It lets you add your opening hours, address and a description of what you do, and it has the tools below.

2. Turn on the away message

When you’re closed or can’t reply, the customer instantly gets an automatic message. You can schedule it to go out only outside your opening hours (how to do it, in WhatsApp’s help centre).

A good away message says three things:

  • That you got the message.
  • When you’ll reply (“tomorrow before 10am”).
  • What the customer can already do: check rough prices or book through a link.

3. Set up quick replies

You probably get asked the same things every day: opening hours, the price of your most common job, where you are. With quick replies you save those texts once and send them in two taps. Something that took five minutes now takes seconds.

What you don’t need

You don’t need a complicated chatbot or an expensive platform to start. First, reply quickly with what you already have. Once that works, you can take the next step: online booking or automatic reminders.

A simple test: ask a friend to message you one evening at 8pm, as if they were a new customer, and note how long you take to reply. It’s the same test I run in every check-up.
